When creating Ticklers remotely via email, the format of the message's Subject line will determine the time at which the tickler is set to be delivered. MyTicklerFile's incoming email processor supports five types of ticklers, detailed below.
A tickler is formatted by first using one of the supported time, date, or time and date
formats, optionally followed by a frequency indicator, and then a normal subject. For
example:
7/31 11:30 @weekly Meet Joe for lunch at KFC
This will set a weekly tickler to be started on July 31st at 11:30 AM with the subject
"Meet Joe for lunch at KFC". The tickler will continue to be delivered once a week until deleted.
This is the address My Tickler File assigns to your account. If you wish to create a tickler remotely, this is the address you will send the email to. "Get New Address" allows you to reset this address at any time.
You can set a tickler be delivered relative to the current time. This is done by using a
number followed by one of the keywords "days", "hours", or "minutes". The singular and
plural forms are both supported. Any amount of whitespace can precede the number,
the keyword, or the subject. Some examples:
1 hour Pick up Jenn from dance class
3 days Call accountant about taxes
30 minute Wake up!
A tickler can also be set with a date only. Ticklers created this way will be delivered at either the default "Morning" or "Evening" time you set in your preferences. Dates are specified in the
MM/DD/YYYY format. The year is optional and may also be two digits. Omitting the year will default to the current year. Some examples:
2/24 Send Scott a "happy birthday" email
8/13/2006 Don't forget your wedding anniversary!
5/25/06 Katie graduates today!
You can set a tickler to be delivered at a specific time within the next 24 hour period. This is
done by using a time followed by a subject. If you specify a time that has already
passed the tickler will be placed in "Held" status and you will be notified to update your tickler. Both 12-hour and 24-hour time formats
are supported. The specifiers AM and PM can be used (case does not matter). Leaving off the AM/PM specifier will default the format to 24-hour time. When specifying a
time at the hour, the ":00" is optional, however an AM/PM identifier must be present.
Some examples:
3pm Do the laundry
9:30 Get the dog from the vet (will be delivered in the AM)
10:30 AM Staff meeting
15:00 Go grocery shopping (will be delivered in the PM)
*Remember: If the time has already passed today, the tickler will be placed in Held status.
A tickler can be set with a specific date and time, as well. This format is a combination of the
two previous formats. All valid dates and times described above will work in this format, also. Some examples:
2/25/06 4pm Grandma's appreciation dinner
2/25 14:15 Don't forget about that important thing!
Recurring ticklers are those reminders set to be delivered at a frequency you determine (daily, weekly, monthly, yearly) at a time you specify.
Recurring ticklers can also be set via email by inserting a frequency keyword between the
time/date and the subject. The supported keywords are:
@daily
@weekly
@monthly
@yearly
My tickler file allows you to tag reminders. Tagging is a method of grouping information that is similar in nature (like a category).
By default, your top 10 tags will be listed on the dashboard. These are the tags with the most ticklers assigned to them. If you have created more than 10 tags, a link will appear ("Toggle All Tags") that will allow you to expand and view all tags. To collapse your list, click ("Toggle All Tags") again.
Ticklers can be tagged via email, too. In the first line of your email body add the keyword
@tags followed by one or more comma separated words. These tags will be added to
the tickler. For Example:
@tags work, meetings, clients
Meet with Fred about the new budget.
This tickler would be tagged with "work", "meetings", and "clients". The @tags line will
be removed from the message body, so the tickler that is sent out will only contain
"Meet with Fred about the new budget." However, if you omit the commas, you'll generate a multiple word tag. For example:
@tags work, meetings, clients
Meet with Fred about the new budget.
This tickler would only be tagged as 'work meetings clients'. Just as in the above example, the @tags line will be removed from the message body, so the tickler that is sent out will only contain "Meet with Fred about the new budget.
MyTicklerFile allows you to create projects in order to better manage how you are spending your time. Projects may be created from the Project View by clicking the Create a new project button. Projects may also be created on the fly while adding or editing a tickler. Under the Project heading simply select "Create a new project" from the project drop down menu.
Managing your time in MyTicklerFile allows you to be more productive. For each project, you may set the expected duration by entering the amount of time (in hours) in the Project Duration field. As you assign ticklers to the project, you may track how your time is being allocated as you approach the total hours designated for that project.
For each tickler you have the option of tracking how much time is spent on that particular task. To set the amount of time, open the Create/Edit tickler page and enter the time (in hours) in the Time Tracking field.
